Payroll seems like no big deal when you’re just managing a few employees. As a startup begins to scale, though, it often becomes painfully clear just how risk-prone payroll processing really is.

Large teams equal extra data for HR to collect and organize, not to mention more complicated compliance checks. It’s no wonder companies typically have around a 20% payroll error rate, as data from EY shows, with an average cost of $291 to patch up each mistake.*

Small business payroll processing errors are often less about final calculations, and more about managing employee data correctly from the start. Let’s talk about how HR can organize the data it ships to maintain high-quality payroll.

What’s payroll processing, and why does it matter?

Payroll processing isn’t just about getting money into employees’ bank accounts on time. Instead, it’s the end-to-end workflow that begins with calculating compensation and taxes, and ends with distributing payments while staying compliant.

Most payroll cycles run on one of three schedules, depending on the company’s size and workforce needs:

  • Weekly: Businesses with hourly or shift-based work often pay every week, to account for greater compensation variability and frequent schedule changes.
  • Biweekly: According to the U.S. Bureau of Labor Statistics, sending payouts every two weeks is the most common time frame, used by 43% of employers. This cycle provides consistent cash flow while requiring less admin than a weekly model.
  • Monthly: Paying employees once per month often makes sense for predictable, salaried roles, and it’s the least demanding schedule for HR and finance.

Payroll documents and requirements

Before payroll can run, HR has to collect the required paperwork and register with the appropriate tax authorities, so every submission keeps your business compliant.

That means collecting core information like:

  • Tax identification numbers
  • Employee tax and eligibility forms
  • Bank details and benefits authorizations

It’s also critical to get worker classification right from the start, by establishing whether individuals are employees or independent contractors.

How does payroll processing work? 3 steps

The best way to view payroll processing is as a recurring cycle with three distinct stages.

1. Pre-payroll: Collect employee data and make sure it’s right

The first stage is all about making sure employee data is clean before it heads off for payroll calculations. To do that:

  • Make a plan and lay the groundwork: When you create a framework for all future payroll cycles, you set the stage for compliance. Along with defining pay schedules and deductions, you’ll need to register with relevant tax authorities.
  • Set up payroll infrastructure: Strada's reporting found that 77% of large employers still use outdated methods, like manual checks and legacy backups, for both payroll and workforce ops. Although manual payroll is attractive because it has a lower upfront price, it costs more in time and potential human errors. Automated payroll processing software cuts down on these risks, through integrated systems that organize data and compare it against compliance requirements.
“When you copy data from one system to another, they can really become error-prone.”

Erica Ancobia, CEO at KUNO
  • Collect and update employee data regularly: The constant changes in employee details — including roles, salaries, benefits, and bank information — need to make it into every payroll submission. Create clear payroll preparation procedures that specify how and when all this info is collected.

2. Payroll processing: Run the numbers and get those paychecks out

Now is when the actual payroll processing happens, when your teams will:

  • Calculate gross pay, deductions, and net pay: With all the data from HR, payroll can apply employee salaries or hours worked (plus bonuses or overtime), then subtract taxes and benefits to determine each team member’s final take-home pay.
  • Disburse payments: When all the numbers get a final seal of approval, you’ll send the paychecks out to employees, typically through direct deposits to their linked bank accounts.

3. Post-payroll: Pay your dues and log everything

Once employees are paid, you still need to make sure you’re all set with compliance and have an audit-ready trail.

That means you’ll want to:

  • File and remit payroll taxes: Report and send all the required tax amounts you withheld during payroll to relevant government authorities, like the IRS and state workforce or unemployment agencies.
  • Retain payroll records: To protect yourself from future regulatory checks, keep all payroll data in a single place.

Although Leapsome isn’t a payroll system, our Payroll Prep portal unifies all your most valuable data, such as employee records and absences. That way, HR has no issues finding and organizing details before submission day.

“On the C-level, I learned to doubt people data because it arrived late and conflicted across files. Then, sitting in HR, I felt the pain from the inside and saw how much time went into rebuilding the same reports. Centralizing restores trust and your calendar.”

Payroll-ready versus payroll due: What HR needs to lock in before each run

Some payroll plans center around due dates, without considering whether teams are genuinely “payroll ready.” This is like running a race without doing a solid warm-up first: If there were inaccuracies in the prep work for your latest payroll run, you’re bound to stumble before the finish line.

Data from EY strongly suggests that any issues you face during the payroll process likely originated with bad data. The three most common payroll error categories are time/attendance and expense, vacation/PTO/sick time, and benefits. When you notice that payroll constantly asks for last-minute details, like bonus confirmations or changes to employee records, you know it’s time to improve HR data flows.

One way you can do that is to set an internal cutoff point called a payroll-ready date. This extra due date clarifies when HR should be able to say with confidence that payroll data is complete and accurate.

Adding a payroll-ready date can boost your payroll processes by providing:

  • Defined, visible deadlines: The sense of urgency from a clear deadline focuses HR’s attention on when data has to be ready, so your team doesn’t end up scrambling to accommodate last-minute requests.
  • Clear ownership over data: A due date doesn’t just keep HR accountable; it also prevents you from having to do a lot of detective work. Clarity over every payroll input’s owner (e.g., employees for changing bank details and managers for time off and bonus approvals) makes it easy to track down the right people with questions.
  • Improved employee trust: Payroll is one of the most visible promises you make to your workforce, and the one employees care about most. According to Remote, about 42% of employees said payroll errors reduced their trust in their employers, made them cautious about the business, or prompted them to think twice about bringing up other concerns.

Another way to make sure HR is always payroll ready is to centralize employee records using Leapsome. This lets you keep all up-to-date payroll data, like absences, PTO, and promotions, in one place. As a bonus, the added visibility into workforce costs gives both HR and finance data to use for more accurate forecasting and decision-making.

“Many HR teams still struggle with the basics — too many disconnected tools, limited insights. That’s why we built a truly people-first HRIS that unifies all employee data into one source of truth.”

Prepare payroll with confidence thanks to Leapsome

Scaling shouldn’t mean payroll cycles put more intense pressure on everyone. If that does happen, there’s a good chance it’s not about how you process payroll — you may not be prepping well enough. Instead of looking to finance teams or your external processor, take a closer look at how well HR manages the data that feeds into the payroll system.

Leapsome’s centralized HRIS and people management platform helps you achieve better payroll prep with:

  • Integrated employee records: HR doesn’t have to search far to find all the latest changes to people data.
  • Absence and time-tracking tools: Sync leave data and PTO directly with HR workflows, and catch any outdated absence inputs.
  • Automated screening for compliance: Leapsome lets you set specific rules for your payroll setup to avoid legal risks.

“Employees can now find everything in one place — their data, absences, goals, and reviews. I don’t have to explain which tool to use for what. It’s all in Leapsome.” – Merilyn L, Senior People Operations Specialist at Bob W.
