Privacy Notice: People Leaders To Watch

1. Who is responsible

Leapsome GmbH, Brunnenstr. 153, 10115 Berlin, Germany, is the controller for the processing described here. People Over Perks is a brand used by Leapsome GmbH and is not a separate company or legal entity. You can reach us and our data protection officer at privacy@leapsome.com.

2. What this notice covers

This notice covers the People Leaders To Watch Awards, an awards programme recognising people leaders. It applies to three groups: people who nominate themselves, people who nominate someone else, and people who are nominated by someone else. Our general privacy notice at leapsome.com/legal/privacy applies to everything else, including your use of our website. 3. If you nominate yourself

What we collect. Your name, business email address, employer, job title, country, and the free text you write in support of your nomination.

Why, and on what basis. To register you, put your nomination to the jury, and administer the programme. Our legal basis is Art. 6(1)(b) GDPR, performance of the participation terms you accept when you submit. If you are selected, the same basis covers publication as described in section 7.

4. If you nominate someone else

What we collect about you. Your name, business email address, employer, job title, and country.

Why, and on what basis. To administer the nomination and to contact you about it. Our legal basis is Art. 6(1)(f) GDPR, our legitimate interest in operating a nomination-based programme.

Your name is passed on. We tell the person you nominate who nominated them, including your name and employer. We are legally required to do this by Art. 14(2)(f) GDPR, which obliges us to tell people where their data came from. Our legal basis for that disclosure is Art. 6(1)(c) GDPR. Nominations cannot be made anonymously.

What we collect about the person you nominate. Their name, business email address, employer and job title, together with the text you write about them. Please do not enter private contact details, and please do not include information about health, personal circumstances, beliefs, or anything else of a sensitive nature.

5. If someone nominates you

Where your data came from. A named individual entered your details in our public nomination form. We tell you who they are in the first email we send you.

What we hold. Your name, business email address, employer, job title, and the text written about you.

What we do with it before you respond. Nothing except send you one email asking whether you want to take part, plus at most one reminder. Our legal basis is Art. 6(1)(f) GDPR, our legitimate interest in operating a programme in which people can be nominated by others. We have balanced this against your interests and taken the following into account: the data is limited to business contact details, we contact you immediately and tell you everything, the nomination is invisible to our jury until you confirm it, and we delete everything if you do not respond.

Your right to object. You can object to this processing at any time under Art. 21(1) GDPR by declining in the email or writing to privacy@leapsome.com.

If you do not respond. We delete your details and the nomination text 14 days after the notification email.

If you decline. We delete your details and the nomination text. We keep a minimal record, in a form that cannot be read as your address, so that a second person cannot nominate you again and generate another email. Our legal basis for keeping that record is Art. 6(1)(f) GDPR, our legitimate interest and yours in not being contacted again.

If you confirm. You register and section 6 applies from that point.

6. Taking part

What we process. Your registration data, your nomination and the text supporting it, correspondence with you about the programme, and the jury's assessment of your nomination.

Why, and on what basis. To run the programme, which includes moderating nominations, putting them to the jury, selecting the Top 25, and contacting you about the outcome. Our legal basis is Art. 6(1)(b) GDPR, performance of the participation terms.

Free text written about you. If you were nominated by someone else, we hold what they wrote. You can ask us for a copy at any time, and you can ask us to correct it if it is inaccurate. A member of our team reads every nomination before the jury sees it.

The jury. The panel consists of the two Leapsome founders, Leapsome’s VP People & Strategy, and two people leaders from outside Leapsome. The external members act on our instructions, are bound by confidentiality, may use the data only for judging, and are contractually prohibited from using it for any purpose of their own, including recruitment. Their access ends when the decision is made.

7. If you are selected as one of the Top 25

What is published. Your name, employer, job title, photograph, and a short quote, in a printed copy of the winner list, on the Leapsome website, and on Leapsome social media channels.

Why, and on what basis. Public recognition of the honorees is the purpose of the programme and is described in the participation terms you accept when you register. Our legal basis is Art. 6(1)(b) GDPR, performance of those terms.

What we ask you to do before publication. We contact you and ask you to supply a photograph, approve the quote, and check that the details about you are correct. You confirm at that point that you hold the necessary rights to the photograph you supply, or have the photographer's permission for it to be used in this way. Nothing about you is published before you have completed that step.

Print. Once a printed edition has been distributed we cannot recall it. We will remove online content and stop further use and further distribution on request, but copies already in circulation stay in circulation.

8. Direct marketing

If you register for the programme, we will send you information about Leapsome products and services to the business email address you gave us. Our legal basis is Art. 6(1)(f) GDPR, our legitimate interest in direct marketing.

You can object at any time and we will stop. Use the unsubscribe link in any such email or write to privacy@leapsome.com. Objecting costs you nothing beyond your own transmission costs, and it does not affect your participation in the programme.

People who have been nominated but have not confirmed receive no marketing from us at any point.

9. Who else has access

We use service providers who process data on our instructions under Art. 28 GDPR, including our CRM, hosting, and email provider. If any processing takes place outside the EEA, name the country and the transfer mechanism, for example EU standard contractual clauses or an adequacy decision, and say where a copy can be obtained. We do not sell your data and we do not pass it to any partner or sponsor for their own purposes.

11. Your rights

You have the right to access your data (Art. 15 GDPR), to have it corrected (Art. 16), erased (Art. 17) or restricted (Art. 18), the right to data portability (Art. 20), and the right to object (Art. 21). Contact us at privacy@leapsome.com and we will respond within one month.

You also have the right to complain to a supervisory authority. The authority responsible for us is Berlin Data Protection Authority.

12. Changes

If we change how the programme handles personal data we will update this notice and note the version and date. Current version: July 2026.
