Leapsome's product updates: goal triggers, hours-based PTO tracking, and learning path updates

This month we’re introducing goal-based workflow triggers, hours-based PTO tracking, and multiple updates across analytics, surveys, learning, and Leapsome AI. Together, these changes help teams automate follow-ups, handle flexible work arrangements more accurately, and get clearer visibility into people data.

Form builder
The Form Builder allows you to create structured forms for a wide range of HR processes, including development plans, PIPs, onboarding plans, and request forms such as learning budgets or salary changes. Each form includes clear ownership, approval steps, and visibility, so requests don’t get lost across tools or inboxes.
Forms can be used for both one-off submissions and ongoing processes. For longer-running forms like development plans, progress stays visible over time instead of being locked in static documents.
Ongoing forms also link directly to goals and learning. This keeps decisions, progress, and development activities aligned without duplicating information or switching between systems.

Analytics widget and report best-practice library
Start with proven analytics setups. The new widget and report library gives you access to curated best-practice analytics configurations. You can select widgets or reports that fit your needs, adjust them if required, and move forward without spending time building dashboards from scratch. This helps teams get value from analytics faster and provides a clear starting point for common HR questions.

Review assistant surfaces past meeting notes, goals, and instant feedback
The AI Review Assistant now surfaces relevant past meeting notes, goals, and instant feedback directly within the review flow. This gives reviewers access to supporting information from across the review cycle while they’re writing, without needing to manually search through different areas of the platform.
The surfaced content is scoped carefully. It’s tied to the person being reviewed, relevant to the specific review question or competency, within the current cycle, and visible to the reviewer based on their permissions. This helps ensure the information shown is appropriate and directly related to the assessment being written. By bringing this context into one place, the Review Assistant helps reduce manual lookup and keeps reviews grounded in documented inputs already available in Leapsome.

AI dashboard insights
Each analytics dashboard widget now includes an AI-generated summary. These summaries highlight key trends and notable changes within the data shown in the widget. The summary is generated per widget and displayed alongside the chart. It provides a written explanation of what’s happening in the data without changing the underlying metrics, filters, or calculations used in the widget itself.

Meeting coach
Meeting coach provides insights based on meeting transcripts. It analyzes participation and interaction patterns and presents objective signals about how meetings unfold. These insights are displayed without altering the meeting content itself. The feature focuses on showing participation data and dynamics derived from transcripts, helping teams review meeting patterns over time.

🔁 HRIS – Workflows
New goal event triggers in workflows
Workflows can now be triggered by events related to goals. Specifically, workflows can start when a goal is created, when a goal is updated, or when a goal has not been updated for a defined period of time. These goal-based triggers can be selected when configuring a workflow, alongside existing trigger options. Once configured, the workflow runs automatically when the selected goal event occurs, without requiring any manual action to initiate it.Goal event triggers allow workflows to respond directly to changes in goal activity. This makes it possible to link goal-related events to follow-up steps, notifications, or requests within the workflow builder, using the same structure and controls as other workflow triggers.

New step type: Send Instant Feedback Request
A new workflow step is available for sending instant feedback requests. This step can be added at any point within a workflow and configured in the same way as other workflow actions. When the workflow reaches this step, an instant feedback request is sent automatically. The request is created and delivered as part of the workflow execution, rather than requiring someone to manually send it from the feedback area.This new step expands the range of actions available in workflows and allows feedback requests to be included directly in automated processes. The feedback request follows the existing instant feedback logic and permissions already in place.
🏝️ HRIS – Absence management
Accrue PTO based on hours worked
PTO accrual can now be calculated based on hours worked. This adds an alternative to accrual models that are tied to fixed schedules or static entitlements. When hours-based accrual is enabled, PTO balances update automatically based on recorded working hours. The accrual logic applies consistently over time, ensuring that balances reflect the underlying hours data. PTO balances remain visible to both employees and HR teams, with the accrual method clearly reflected in the calculation. This update affects how entitlement is calculated, while existing absence tracking and visibility remain unchanged.

📊 Surveys
Smart question sampling for surveys
Surveys now include an option for question sampling. When enabled, the system sends a randomly selected subset of questions from the full questionnaire to each participant. The sampling happens automatically at send time. Each participant receives fewer questions, while responses across participants collectively cover the full set of questions included in the survey. This setting can be configured per survey. Question sampling does not change how responses are collected or reported, and all responses are stored and analyzed within the same survey results view.

📚 Learning
Learning path card improvements
Learning path cards have been updated with clearer visual structure and improved navigation. Key actions are now more visible directly on the card, reducing the need to open multiple views to understand the status of a learning path. The updated cards make it easier to distinguish between ongoing learning paths, completed paths, and live trainings. Navigation between these states has been streamlined so users can move between them more directly. These changes affect how learning paths are displayed and navigated, while the underlying learning content and completion logic remain the same.

Participant-level quiz analytics
Quiz analytics are now available at the participant level. This view displays individual quiz results, including scores, attempts, and progress, in a single location. The participant-level view complements existing aggregate quiz analytics. It allows results to be reviewed per participant without switching between multiple reports or filters. All quiz data shown in this view follows the same scoring and tracking rules already used in the learning module.
